Common Questions

How do I see what eLearning modules my trainees get and request changes to the current offerings?

Each program is different and has different needs. While you can see some of the modules that your program has opted in to or been exempted from on our Opt Ins and Exemptions page, you can always email lgateway@uw.edu for a current list of all the modules your trainees receive.

You can change your opt in modules or request new exemptions using the form on the Opt Ins and Exemptions page.

How and when are eLearning modules launched?

Each year eLearning modules are delivered in two launches:

  • Phase I in June/July
  • Phase II in October

The exact start and due dates change year to year, and can be found on our eLearning Requirements page.

How can I see current completion rates and incomplete trainees?

You can access reports directly in the Learning Hub (see this page for instructions; you will need a UW Medicine account and a NetID to access them). You can also email us at lgateway@uw.edu for a specific report.

I’d like to help by volunteering for Usability Testing or to be a Subject Matter Expert

Great! We rely on the expertise of our learners and doctors to make our modules the best they can be. If you would like to volunteer for usability testing, simply email lgateway@uw.edu and we’ll be in touch.

Subject Matter Experts are sought out in relation to specific projects. If there is a project you are aware of, feel free to reach out directly to lgateway@uw.edu or one of the current project members.

How many modules are there and how long do they take?

While this number varies greatly depending on the trainee’s specialty, most first year residents are required to take about 6 hours of eLearning. Some specialties have 1–6 hours of procedure-specific eLearning. And all residents and fellows need to complete 6 hours of suicide prevention training one time (which many complete within the Learning Hub). So, total time ranges from 6 hours to 17, depending on how a resident or fellow completes their suicide prevention requirement and what specialty-specific training they have.

Returning residents and fellows have 1–2 hours of annual training they must complete (again, depending on specialty-specific requirements). A list of all training can be found on our Required eLearning page.

Can I preview the eLearning modules residents and fellows take?
All modules developed by Learning Gateway are available on our eLearning Review page. Please note, this is not where residents and fellows go to complete modules, and if they try to take modules here, they may think they completed them, but that completion is not tracked and they will continue to be marked as incomplete until they take it within the Learning Hub.

While we strive to add links to modules we do not develop, it can be challenging to get access to links for them all. Some modules can be searched within the LMS, or you can go to the content developer for more information. The eLearning Requirements page identifies the UW group that developed each of the modules.

What requirements do the eLearning modules fulfill?

Each module fulfills a specific federal, state, or local requirement; addresses an area of potential UW Medicine liability; or addresses an area of best practice that is being targeted within the UW Medicine system. You can review the eLearning Requirements page to see what specific requirement each module fulfills.

Communicating with Residents and Fellows Regarding eLearning Completion

The following should be helpful in communicating with residents and fellows throughout the eLearning launches to encourage completion. Feel free to edit to meet your program’s needs.

Generic Message
The [June/October] eLearning courses for residents and fellows launched on [date] in the UW Medicine Learning Hub. These include annual requirements and those reserved for mid-year rollout, and residents and fellows have been registered only for the courses required by their specific training program. These trainings training address requirements set forth by federal and state legislative and accrediting bodies such as ACGME, LCME, Joint Commission, DOH, CMS, OSHA, and RCWs. The list of courses you are required to take can be found in the UW Medicine Learning Hub and are due for completion by [date]. Email any questions about the requirements or accessing the trainings to lgateway@uw.edu.

Directed Message for Incompletion
You currently have eLearning modules due as part of the annual training requirements set forth by federal and state legislative and accrediting bodies such as ACGME, LCME, Joint Commission, DOH, CMS, OSHA, and RCWs. Your completion of these trainings is an important part of your professional duties. These include annual requirements and those reserved for mid-year rollout, and residents and fellows have been registered only for the courses required by their specific training program. The list of courses you are required to take can be found in the UW Medicine Learning Hub and are due for completion by [date]. Email any questions about the requirements or accessing the trainings to lgateway@uw.edu.

Non-Completion Letter

The last step in the completion enforcement process is a letter sent to each program director and administrator for the program for each resident or fellow who has outstanding modules by the end of that calendar year. You can see a sample of this letter below.

We recommend using this letter in the annual Clinical Competency Committee (CCC) meeting and notate it under professionalism for that training.
