Getting Ready for UW Medicine Epic EHR

The following instructions for residents and fellows are specific to accessing the Epic electronic health record (EHR) at UW Medicine.  This does not include instructions on EHR training for Seattle Children’s Hospital (SCH) or VA Puget Sound Health Care System (VAPSHCS).

Epic Training Overview

Residents and fellows rotating at a UW Medicine training site will be required to complete UW Medicine EHR training prior to their appointment start date.  Training requirements vary by specialty and may be delivered as follows:

  • Online / asynchronous training in the UW Medicine Learning Hub
  • Instructor Led Training (ILT) completed virtually over Zoom
  • Online / asynchronous training + ILT

Additional details about required training will be posted on the Orientation page on the GME website.  Instructions for residents/fellows with scheduled ILT will be communicated by programs and the GME Office.

Preparing for Epic Training

You will need to complete the following steps in advance of your Epic training:

  • Setup your UW Medicine Account
  • Update your UW Medicine Account password
  • Install and setup Pulse Secure: If you are enrolled in Online Epic training and plan to complete this training on your personal computer, you are required to install and run Pulse Secure before you start your training.  This allows you to securely connect to the UW network.  The link below provides instruction on installing Pulse Secure.

If you have not received your UW Medicine Account and temporary password emails, please email the GME Office at uwgme@uw.edu.

Accessing Training

You will be assigned to an Epic Training Track in the UW Medicine Learning Hub that includes all training required for the start of your appointment.  The track may include one or more of the following:

  • eLearnings
  • Instructor Led Training (ILT) classes
  • Videos
  • Additional Study Guides
  • End User Proficiency Assessments (EUPAs)

Incoming Residents/Fellows

  • Online Training: Asynchronous online training will be accessed from the Learning Hub.  You will use your UW NetID and password to login.
  • Instructor Led Training: If you are enrolled in an ILT class, you will receive an email from the UW Medicine Learning Management System (LMS) with your class details.  Your program will also send you an email with the class details and Zoom link for the class.  All assigned online training in the Learning Hub must be completed prior to your assigned ILT class.
  • All assigned Epic training will be listed in the Learning Hub under Assigned Activities.

Current Residents/Fellows

  • Transfers: If you are transitioning to a new program at the start of the academic year you may require additional ILT.  Contact your program administrator for your new program if you have not received a training registration email by mid-June.
  • Boarding Rotations: If you are required to complete additional Epic training for an upcoming rotation you will receive an Epic training registration email from uwmedlms@uw.edu with your assigned training and class registration details (if scheduled ILT is required).

After Epic Training

The following is required to obtain Epic access:

  • Activation of UW Medicine Account password
  • Completion of all required Epic training (online and any required ILT)
  • You are within 3 days (72 hours) of your UW appointment start date

Get started with CORES

Enroll in Electronic Prescribing for Controlled Substances (EPCS)

​Electronic Prescribing of Controlled Substances (EPCS) is required for all Epic prescribers with a DEA number who place and print orders for controlled substances.

  • Download the Imprivata app on your mobile device if you will be ePrescribing controlled substances.
  • Make sure your DEA Registration is on file with the GME Office in MedHub. Contact the GME Office with any questions at uwgme@uw.edu.
  • Follow the How to Enroll in EPCS instructions.  Enrollment options:
    • Enroll with an enrollment specialist in your outpatient clinic.
    • If you are not an outpatient provider, call the UW Medicine Helpdesk at 206-520-2200 to request a virtual EPCS enrollment with an Epic trainer.

Activate your Badge for Tap-In-Tap-Out

All Epic users are automatically enrolled in Tap-in-Tap-Out (TITO).  TITO gives Epic users the ability to use their badge to roam from one computer to another while preserving their Epic session.  See the Tap-in, Tap-out: Use Your Name Badge to Access Epic for setting up your badge.

Additional Specialty Training

If you will be rotating (boarding) on another service, you may require additional specialty training closer to your rotation start date. Any additional specialty training will be arranged by your training program.  Please reach out to your program administrator if questions.
