Guidelines for Applicants

As you work on your materials, it’s essential to ensure that AI enhances, rather than replaces, your authentic voice and experiences. These guidelines emphasize the importance of data privacy, avoiding plagiarism, and adhering to application and match system policies like NRMP and ERAS, while also encouraging personal growth and readiness to discuss the role of AI in your application.

Adherence to Relevant Guidelines and Policies

  • Ensure compliance with the University of Washington’s interim AI guidelines, with particular focus on privacy, data security, and record retention.
  • Follow specific guidelines provided by application and matching systems, such as the Electronic Residency Application Service (ERAS), National Resident Matching Program (NRMP), and San Francisco (SF) Match, ensuring AI use in applications aligns with these policies. Some of these systems may not yet have AI-specific policies in place, but it’s important to check regularly for updates or new guidelines that may be introduced over time.
  • Adhere to any additional rules or policies required by the specific program or organization to which you are applying, especially where stricter controls on the use of large language models (LLMs) may be in place.

Data Privacy & Intellectual Property

  • Exercise caution with intellectual property. Most LLMs store prompts and responses, which can be used for future training and may become accessible to others. To protect sensitive information, avoid inputting any proprietary, confidential, or personally identifiable data into these systems.

Integrity and Authenticity

  • Use AI to enhance your application by improving grammar, structure, and clarity, but ensure it reflects your authentic voice, skills, and experiences. Avoid using AI to artificially enhance your story or present false information.

Fact-check and Proofread Thoroughly

  • AI-generated content can contain errors and “hallucinate” (produce information that appears real but is actually false). Always review and proofread AI-generated materials to correct any mistakes and ensure high-quality submissions.
  • Critically evaluate the suggestions and outputs from AI tools. Ensure the final application materials accurately represent your abilities and fit the application requirements.

Extra Attention for Non-Native Speakers

  • If you are a non-native speaker, take special care to review AI-generated content, as hallucinations might be harder to spot.
  • Be mindful of automation bias (the tendency to over-rely on automated systems) and consider getting a second opinion to ensure accuracy.

Preparation for Discussion and Awareness of Bias

  • Be prepared to explain your use of AI, detailing how it added value to your application, enhanced your presentation, and showcased your technological skills.
  • Recognize that some faculty may have biases against AI. Transparently discussing your AI use and its role in your application can help mitigate these biases and provide a clearer understanding of your work.

Personal Development

  • Use AI to identify areas for improvement in your writing and application but take the time to learn from these insights to improve your skills.
  • Engage in self-reflection and personal growth activities to genuinely strengthen your application.

Guidelines for Training Programs

As AI becomes increasingly integrated into application processes, it’s essential for residency and fellowship programs to provide clear guidelines on its use. This section emphasizes the importance of authenticity in applicant materials and outlines a holistic review process that includes human judgment and adherence to application and matching system’s requirements. We also highlight the need for awareness of potential biases toward AI to ensure fair and balanced evaluations.

Follow UW and Residency Application and Matching Systems Requirements

  • Follow the University of Washington’s interim AI guidelines, ensuring your use of AI aligns with standards related to privacy, data security, and record retention.
  • Adhere to the specific requirements of application and matching systems (such as ERAS, NRMP, SF Match), ensuring compliance with any disclosure or attestation requirements related to the appropriate use of AI. Some of these systems may not yet have AI-specific policies in place, but it’s important to check regularly for updates or new guidelines that may be introduced over time.
