Orientation Compensation
GME will compensate residents/fellows for all time spent at GME orientation, EHR training, and eLearning modules that occur prior to appointment start dates. In order to be compensated residents/fellows must upload their completed UW GME Orientation Checklist (located in the sidebar of this page) before their clinical start date. Following orientation on June 21st, you will be able to submit your completed checklist via a button at the top of this page. Programs are responsible for compensating residents/fellows for any time spent at program-required activities that take place prior to appointment start dates.

A1 Log into Workday
Workday is the HR/payroll system at the University of Washington. You will receive an email from Workday with instructions for enrolling in Duo two-factor authentication (2FA) (required for accessing Workday), completing your I-9 Employment Eligibility Verification, filling out your W-4, and setting up direct deposit.

A2 Complete MedHub Onboarding Package
Please upload all required items directly into your MedHub onboarding portal. We anticipate the following items will be submitted after the 4/30 deadline in MedHub, due to varying processing times by external organizations/institutions:
- Medical school/dental school diploma
- Medical license
- DEA registration (active medical license and institutional email needed to apply to qualify for fee-exemption)
- PECOS enrollment (active medical license needed to apply)
- Final summative evaluation

A3 Complete Employee Health Requirements
TB Testing
Every incoming Resident/Fellow should submit a copy of a current TB skin test, Quantiferon Gold, or T-spot completed after May 23, 2023, to meet the entry TB requirement. These results can be submitted as part of the MedHub onboarding package. For those that need TB testing, please contact your Program Administrator for specific scheduling information. For trainees that cannot make one of the scheduled times, please visit one of the Employee Health office locations listed below. **You must have your Employee ID (found in Workday) before you can complete your testing.**
Fit Testing
For Residents/Fellows that have completed a Respirator Fit test in the past 12 months, please submit a copy of this documentation as part of your MedHub onboarding package or email a copy directly to the Employee Health office at emhealth@uw.edu. For those that still need Respirator Fit testing, please contact your Program Administrator for specific scheduling information. For trainees that cannot make one of the scheduled times, please visit one of the Employee Health office locations listed below.
COVID-19 Vaccination Booster
If you have already received your COVID-19 vaccination booster, please upload a copy of your vaccine card in your MedHub onboarding package or send it to Employee Health directly at emhealth@uw.edu. If you have not received your COVID-19 vaccine booster, please visit the COVID-19 Booster Campaign webpage to schedule a booster appointment or complete the declination process. The declination process only applies to the booster, not the initial vaccine. The process for receiving a booster vaccine is currently by appointment in the COVID vaccine clinic in the main lobby at UWMC ML, or at other sites available through the scheduling portal. All residents will need to be fully vaccinated and have met the COVID booster requirement before arriving at the Medical Center. Submission of your COVID vaccine documentation is necessary before you can be on campus. Employee Health Offices:

A4 Setup your UW Medicine Account and Password
The UW Medicine Account (or AMC Account) is the account used for accessing UW Medicine IT systems, including the Epic electronic health record (EHR). Note that your login may be the same as your UW NetID. You will receive two sets of email instructions with “UW Medicine SailPoint” in the subject line: one for setting up your UW Medicine/AMC Account, and one with a one-time password. If you are having password issues, please contact the IT Services Help Desk – do not use the “Forgot Password” option (does not work if on non-UW networked computers).
You must reset your password before accessing your Epic training and before your start date.

A5 Complete UW Medicine Epic EHR Training
Residents and fellows will be required to complete training on the UW Medicine Epic EHR in the UW Medicine Learning Hub (Learning Management System) prior to their appointment start date. In some cases, residents/fellows will require additional specialty-specific instructor led training (ILT). Training delivery will be as follows: online only, online + ILT, or ILT only. Residents and fellows will be notified by the GME Office when the training is available for completion in the Learning Hub. See Getting Ready for UW Medicine EPIC EHR for instructions.
For residents/fellows with required ILT, training programs have been notified of the required ILT classes and emails with class information will be sent out by the GME Office by early June. Online training must be completed prior to any schedule ILT classes.

A6 Review UW Benefits Modules
Review all 8 modules of the UW Benefits Orientation to learn about the options for medical and dental insurance, life insurance, retirement plans and other benefits available to you. You will need to login with your NetID. You can enroll in benefits in Workday after you receive your email notice to enroll on or after your appointment start date.

A7 Review Parking and Transportation options
Please review your options for both parking and transportation.
Please note UWMC and HMC have separate parking registration processes.
The UWMC Pay-Per-Use Permit (PPUP) sign-up form will be available June 16th-July 22nd. Please visit UWMC Residents and Fellows Transportation Services.
The Harborview Parking Permit Form must be submitted to the HMC Parking Office. Information about the UWMC parking process will be available by the end of May, please check back.

A8 Pick up your badges
UWMC, HMC and Husky Cards will be printed in advance for those who submitted a photo as part of their MedHub Onboarding package. Badges will be available for pick-up beginning June 21 (GME orientation day). Also available for pickup at the badging offices are pronoun badges, to accompany your hospital badge/s.
Incoming Residents and Fellows should pick up their badges from each of the badging offices prior to their first clinical day unless their Program communicates alternative arrangements. For fellows, beginning the training program after July 2, hospital badges and Husky cards will be available for pick up on appointment start date.
Husky cards, for those printed in advance, can be picked up at UWMC-Montlake only. Badging Offices:

C1 Complete eLearning Modules
Incoming residents and fellows will be required to complete a series of online eLearning modules via the UW Medicine Learning Hub. Training addresses Patient Safety, Federal/State requirements, ACGME competencies, and Medical Center requirements. An email with instructions will be sent when the eLearning becomes available at the beginning of June. You will need to have your UW Medicine Account established and will log in using your UW NetID.
