GME Track Annual Update

GME Track® is a database and tracking system run by the Association of American Medical Colleges (AAMC) that assists in the collection and management of GME data.

Within GME Track is the National GME Census, which is comprised of two components: the Resident Survey and the Program Survey. Individual programs confirm resident and program data annually, between May and February. Program information will be uploaded in August, October or February to the Fellowship and Residency Electronic Interactive Database (FREIDA) depending on how early your program completes and approves data.

The National GME Census is jointly conducted by the Association of American Medical Colleges (AAMC) and the American Medical Association (AMA).

Update and verify the information provided, using the step-by-step instructions below. Note – be sure to click “Save and Go to Page X” before continuing to a different page.  Navigating between tabs will not save information.
Q1 – Q4. Please answer as appropriate for your program.
Q5. Does this program provide the opportunity to interview applicants via a video conferencing system, for example, Skype or WebEx? Please select as appropriate for your program. Note that per GME guidance, all interviews will be done either fully virtually or in person this season.
Q6 – Q10. Please answer as appropriate for your program.
Q11. Does this program or its sponsoring institution have a formal affiliation with an MD-granting or DO-granting medical school?

Add residents who are missing from your roster.

Note, US MD graduate data have been preloaded from the AAMC Student Records System, but be sure to add osteopathic medical school graduates, foreign medical school graduates, transfer-ins since the last GME Track update, and other missing residents in your program.

There are two ways to add new residents to your roster:

  1. Click the “Add Resident” button to add residents one at a time.
  2. Send a spreadsheet to gmetrack@aamc.org with the following required information for each resident. If any of the fields is missing for a resident, the resident will not be able to added. Note, DO NOT include any sensitive personal information in your spreadsheet, e.g. Social Security Numbers. Once the residents have been uploaded GME Track will send a confirmation e-mail.
    • ACGME Program ID Number
    • First Name
    • Last Name
    • Birth Date
    • Resident Start Date (MM/DD/YYYY)
    • Expected Completion Date (MM/DD/YYYY)
    • Medical School of Graduation—Name
    • Medical School Graduation Date (MM/DD/YYYY)
    • ECFMG ID (If Foreign)
    • Years of Prior Training in an ACGME Accredited Program
    • Status of Resident (list of statuses)
For each resident, input resident specific information on the “Addl Status Info” page.  
Once complete, click the “Save and Go to Bio” button.  
Input resident specific bio information on the  “Bio” page.  
Once complete, click the “Save & Return to Status Update” button.  
On the Status Update page, verify or update the status for each resident in the current roster by clicking on the status drop down menu. The status should reflect the resident’s program status as of December 31, 2022.
Click “Approve Resident Survey” when all residents have two check marks next to their names.  
After all resident data is completed, approve and submit the resident survey by clicking Approve Resident Survey located on the righthand top corner of the RESIDENT SURVEY section.

GME Track, FREIDA, and National GME Census FAQs

How can I get access to GME Track?

To access GME Track, please email gmetrack@aamc.org and ask for access to your program(s).  In your request email include the ACGME program numbers.

How is resident info shared/used?

The resident information collected in GME Track is used for research and educational purposes such as monitoring the career choices made by medical school graduates, analyzing the impact of market forces on the GME System, and supporting public policy positions concerning the physician workforce. Additionally, a confirmed training status for a resident is updated in the AMA master file. The AAMC only reports resident information in aggregate and does not release personally identifiable information.

What are the differences between “National GME Census”, “GME Track” and “FREIDA”?

The National GME Census consists of two surveys (Program and Resident Survey), which are completed in the GME Track application. The Fellowship and Residency Electronic Interactive Database (FREIDA) is the AMA’s website that displays information collected in the Program Survey.

What do the 3 deadlines mean? (August FREIDA deadline, October FREIDA deadline, and Final GME Track deadline)

The three deadlines correspond with when data submitted in the Program Survey are uploaded to FREIDA Online. For example, programs that submit information by the September deadline will have their program information displayed in October in FREIDA Online.

Can program make updates after the August and October (FREIDA) deadlines?

Yes, programs can make updates at any time while the surveys are open. The final deadline for survey submission is in December.

What happens if programs miss the deadlines?

If a program misses the August and/or October deadlines they may still complete both surveys at any time until the final deadline in December.

If a program misses the December deadline then their prior year’s information will remain visible until the survey window opens the following year.

How can I see the data once it is published?

To access content an AAMC account is required.  Please note this account is different from your existing GME Track account.  Visit the AAMC website to create an account.

Should I include an expanded detailed information about my program for next year?

Yes!  The GME Office pays for the expanded detailed information for all ACGME programs.  Please follow the instructions provided above in the Complete Program Survey Step-by-Step Instructions for Q47b to provide the appropriate billing information.

How do I monitor the progress for my program(s)?

Use Completion Summary, located under the CENSUS STATUS section of the menu, to monitor the progress of your programs.

Do new programs or programs without trainees need to complete the GME Track survey?

Yes. GME Track is a way to communicate with future applicants so even if a program is new or does not have trainees in the next year they should fill out the survey.
