Onboarding & Orientation FAQs

Welcome you to the University of Washington GME community!  As you begin the onboarding and orientation process, we want to remind you that the GME Office is here to help you navigate the process and answer any questions you may have. Our Incoming Residents & Fellow page is a great reference for items related to your appointment, your relocation, and your employment. We have an orientation page that contains a wealth of information related to our live orientation as well as ‘how to get started’ section for your appointment. Below are Frequently Asked Questions that we have collected and organized by subject.

MedHub

How do I access MedHub?
There are 2 ways for incoming residents and fellows to access MedHub:

  1. Via the onboarding link sent to your email, and
  2. Full access to MedHub, with a UW NetID

Full access to MedHub will not be available to incoming residents and fellows until their appointment start date, so access to MedHub is limited to the onboarding portal only until then.

Onboarding Requirements – Medical License and DEA Registration

I am an incoming ACGME fellow, wanting to apply for a Limited medical license, which license do I apply for?

If applying for the Limited (ML) license, select “Resident Physician” on the application to apply for the limited (ML) license. It certainly is counterintuitive as an incoming fellow, to select that option because “Fellowship” is an option to choose, but “Resident Physician” is the correct application type. This information is also outlined in our State Licensing Policy, under the section titled, “Physician Limited”, provided to all incoming residents and fellows via the MedHub onboarding package. The Physician And Surgeon Fellowship (FE) License is intended for individuals who are international medical school graduates, and who will be completing a non-ACGME training program.

How do I apply for a fee-exempt DEA?

Incoming residents and fellows are only eligible for fee-exempt DEA, with an institutional email address (i.e: one ending with @uw.edu). During the onboarding process, your program will be working with your department’s HR team to enter you as an employee in our HR system, Workday. When the hiring process is complete, you will receive an email that will prompt you to set up your UW NetID (institutional email). This process will be occur in the spring. When completing the DEA application, list the Program Director as the Certifying Official and list the address provided by your training program as the Institution Address. My medical license and DEA have not been issued, can I begin clinical activity?
Residents with medical licenses in “Pending” status will be allowed to start clinical activity on their appointment start date. As for DEA, if this is not available in time for clinical activity, your Attending will need to sign off on any prescriptions requiring active DEA registration.

Onboarding Requirements – Other Paperwork

What is the Final Summative Evaluation and where do I get it?
The Final Summative Evaluation is an ACGME-requirement that your current Program Director must complete on your behalf at the end of your training. Please request that a copy be sent to you after graduation and upload it into the required field in MedHub. Due to MedHub’s functionality, we are unable to assign multiple due dates in the onboarding portal. Our office understands how this can be confusing, so we’ve made our best effort to communicate guidance accordingly in the onboarding portal.
How do I apply for NPI without a SSN?
Foreign nationals with pending SSNs need to apply for their NPI using the paper application (vs. online). Instructions on how to complete this can be found in the onboarding package via MedHub.

Onboarding Requirements – VA

If I previously rotated at another VA, can I use my badge?
Eligible residents and fellows holding a valid VA badge, may keep their badge for use at the Seattle VA. For more information, please get in touch with your VA Point of Contact.

What do I do if I am unable to attend GME Orientation and/or required EHR training?

Please notify your Program Administrator to make alternate arrangements.  You can also view the session recordings on the orientation webpage posted to the Incoming Residents & Fellows webpage following the live event.

Is EHR training part of GME Orientation?

Training for residents and fellows on the UW Medicine Epic EHR is arranged by the GME Office as part of GME Orientation.  Training requirements vary by specialty and delivery will be as follows: online only, online + ILT, or ILT only.  For more information see the Complete UW Medicine Epic EHR Training section on the Orientation page.

Orientation Compensation and CBA Payments

GME will compensate residents/fellows for all time spent at GME orientation, EHR training, and eLearning modules that occur prior to appointment start dates. In order to be compensated residents/fellows must upload their completed UW GME Orientation Checklist before their clinical start date.  Following orientation, you will be able to submit your completed checklist via a button at the top of the Orientation webpage. Programs are responsible for compensating residents/fellows for any time spent at program-required activities that take place prior to appointment start dates.

Benefits

The UW Human Resources website provides a Summary of Benefits for Residents and Fellows​.

You will have 31 days following your eligibility date to enroll in the health coverage and other insurance plans available to you.  Your eligibility begins on the first day of the month following your date of appointment, or on the first day of appointment for those of you starting on the first business day of the month.

• Benefits Information:  Modules will be posted on our webpage during UW Medicine Orientation.
• Address Reporting:  To ensure you are offered accurate benefit plan options, you must update your home address and other personal information in Workday prior to your Hire/appointment start date.
• Benefits Eligibility Letter:  You will receive your benefits eligibility notice in Workday after your Hire date.
• Benefits Enrollment:  Benefits enrollment will be managed through Workday.

How do I choose the right benefits plan?

GME cannot make individual recommendations about your benefits plans but we are happy to connect you to UW Benefits.  In selecting your plan, please review the Benefits Summary PDF and all 8 modules of the UW Benefits Orientation to learn about the options for medical and dental insurance, life insurance, retirement plans and other benefits available to you. You will need to login with your NetID.  You can enroll in benefits in Workday on your appointment start date.  If you have questions about the enrollment process within Workday, please contact the ISC.

When and how do I enroll for my benefits?

When are my benefits active?

Insurance benefits generally begin the first of the following month. However, if an eligible appointment begins on the first business or calendar day of the month, eligibility begins on that day. 

What retirement plan options do I have to enroll in?

Eligible employees can choose between the UW Retirement Plan (UWRP) or the state’s Public Employee Retirement System (PERS) Plan 3.

What alternatives are there besides driving to work?
Please visit our Parking & Transportation Resources page and review the ‘Other Commute options’ section which will contain information on public transit, shuttles, and biking.  Everyone is encouraged to take the bus, walk, or bike to work.
