New Faculty Onboarding

As new faculty join UWSOM to teach in the Foundations Curriculum, there are several steps to be completed in order for the faculty to access specific tools and systems. Most steps to be completed by the WWAMI Site Administrator, unless otherwise noted.

Set-up In-Person Sponsored UW NetID (if the user does not already have a NetID)

  • This step establishes a UW NetID for the user but does not grant access to tools or systems.
  • DO NOT complete this step if the user already has a UW NetID from a previous affiliation.
    • If unsure, the user should call UW-IT at 206-221-5000 x1.
  • If the user does not have a UW NetID, use the In-Person Sponsorship option.
    • Obtain information from photo ID (ID Number, Expiration, Full Legal Name, DOB).

Activate user’s UW NetID for Office 365 and UW G Suite

Prompt new user to submit UW faculty appointment application (if appropriate)

  • This step is for faculty without a UW faculty appointment and can be initiated while the Sponsored NetID is in process.
  • Faculty appointments are handled by the appropriate UW department and tracked by the Regional Affairs office.

Connect faculty appointment to the user’s sponsored UW NetID (if appropriate)

Submit user’s identity information

  • This step provides information needed to ensure that the user has an identity record and unique SomID in the SoM Identity Management System (IDM).
  • Complete a UW SoM Identity Submission Form for the new user.

Request access to AADM

  • This step provides information needed to setup user’s access to the Academic Affairs DataMart dashboards and reports.
  • For users with the role of Foundations Dean, Foundations Administrator, or Learning Specialist, submit an Access Request Form for the new user.

Request access to Canvas, Mediasite, Elentra, etc.

  • This step provides user access to tools and systems for teaching in the curriculum.
  • Add user to Course Information Worksheet.
  • Email som-course-info@uw.edu with information about what is added, retracted, revised, etc.

The following steps are completed by SOMALT and Curriculum staff.

  • Set-up new user with system access.
  • Add users to Elentra instructional events.
